Generating Emails from Completed Tasks

Because Tasks in WebLink can represent an important To-Do Item or responsibility, they can also be configured to generate an email upon being marked completed. This feature can be useful when a Task represent an activity that other people should know about the completion of. Follow these steps to configure a Task to send an email:

  1. Open the Task you want to work with, either by using the Task Selector, your My Tasks Dashboard, the Quick Actions bar, from a Project, or from the Tasks tab of a Profile Record. The Tasks Main window will open.
  2. Click the Status tab of the Task.
  3. Check the Create Contact Record on Close box near the bottom of the Tasks Main window. By doing this, a Contact will be created on the Assigned To Profile with the text from the Internal and External Description Fields.
  4. Enter the email address of the recipient of the email. If you have multiple email addresses to notify, separate them with a comma.
  5. Click Save.

Once the Configuration Process is complete, when this Task is marked Closed and then Saved, an email message window will appear so you can preview and sent the message. Feel free to change the text of the Email Message, then click Send when you are ready for the email to be sent.
