Overview of the Contacts and Sales Modules

WebLink's powerful CRM (Customer Relationship Management) features allow you to not only track and manage your relationship with all of the organizations and individuals you work with, but also to manage your sales efforts within those groups.

Contacts Module

The Contacts Module enables you to keep extensive records on every interaction with your members and their employees, or the members themselves if you are an Individual membership structure.

Some of the key attributes of the Contacts Module include:

  • Creating your own Contact Types, so that you can record the different types of interactions you have
  • Identifying who you interacted with at an Organization, so that you can record the interaction at the member level but see which person you actually met with
  • Creating follow up tasks from a Contact so that future interactions are scheduled and assigned to you or other users
  • The ability to create Contacts manually or automatically, individually or in bulk
  • CopyMe, an additional service that dynamically creates Contact Records from emails your staff send through 3rd Party email systems like Outlook or Gmail.

Sales Module

WebLink's Sales Module gives your team the ability to track and manage all of their sales and prospecting activities right inside the system, so that you can see the entire life cycle from prospecting to membership.

The Sales Module is based on Sales Opportunities: records of the items you are trying to sell to a Profile. Profiles can have as many Sales Opportunities as you need, so everything you sell can be managed and tracked inside the system. Sales Opportunities can track a lot of helpful information, so you can analyze and forecast your revenue stream:

  • Source Codes, to see where your leads are coming from
  • Referral profiles, to track when other members make referrals to you
  • Probability Codes, to see how likely a particular sales is to happen
  • Estimated Close dates, to track when payments should be coming in
  • Revenue Items, so that you are tracking your sales against the same items you manage Revenues for
  • Lost Reason and Dates, in case you ever lose sales and need to know why

In addition to the information contained within a particular Sales Opportunity, WebLink has several Reports and Features that can help your efforts:

  • Sales Opportunity Reports by User and by Date, so you can see the history of opportunity generation and charts on the status of those opportunities
  • Proposal and Agreement Reports, so you can formalize the information prospects receive to evaluate and commit to their purchase
  • Prospect Protection, so that Sales Reps don't accidentally work with each others' Prospects
  • Configurability, so that all of your Sales Opportunity Codes follow your language and processes

  • This is all great introductory information. But, it's also a high-level look. I wish there were comprehensive, active screen, step by step training modules to refer to.

  • I agree! We do not use the Contacts Tab in Weblink, mostly because we don't know how/don't know it's features, but I really feel like we SHOULD be using it, as we are keeping track of most of our contacts on Excel spreadsheets! (LOL) I am VERY interested in the "CopyMe" feature mentioned above, but it does not explain here how it works. Now I will have to do some digging!

  • We just started using the CopyMe function a few weeks ago. If the email address you are sending to exists in WebLink, it automatically records your email in Contacts. A nice relief from the copy and paste we were doing before. The only column in Contacts that it doesn't populate is the Contact Type. You can manually change that from what it defaults to, which is "Auto-Email".

  • Thanks for this info! I did find more information on the CopyMe feature and have emailed my co-workers asking if it is something they think would be useful. Personally, one of my yearly goals is tied to how many contacts I make with our members. I had been keeping track on the before-mentioned Excel file, which is a pain because it is only as accurate as my own record-keeping abilities! (I have many interruptions throughout the day, so even though I am very meticulous, I'm sure I've missed a few!)

  • Using the CopyMe option will automatically record every email into weblink that you chose to add the CopyMe address to. It's great to be able to look at the history of all your communications with any member. Not knowing if you know the full address (I don't see it mentioned above), it's copyme@weblinkinternational.com. I don't believe that address is individualized per organization. My take is that when you use it, WebLink's entire database finds the email address you're sending to within your database, and posts the email to the appropriate contact. On the rare occasion that the same email address appears under two separate profiles, I'm guessing your email would be recorded in both places.

  • Okay, great! So I don't need to contact Weblink to get this set up? I just start BCCing the address copyme@weblinkinternational.com in my Outlook email and a copy will go into the member's WL record?

  • That's my understanding, but I'm not the administrator here:) I would give it a test and see what you get. Exciting:)

  • You can delete any Contacts that you send as a test.

  • Super! Thanks for your help today. I appreciate it. I will give it a try next time I email a member and see what happens. : )
