Sales vs Budget & Cash vs Budget Dashboard

Get an instant view of your organization’s current financial status with the all new Executive Dashboard, available only in the WebLink browser access to WebLink Connect.

  • Configure your organization’s budget goal for both sales and cash each month.   Users with Admin Module access can to to Admin > Budget (when using the WebLink Browser Interface) to enter and edit target budget totals for each month for both sales and cash.

After your budget goals for sales and cash are entered, you can view how your organization is tracking against those goals on a month-to-date and a year-to-date basis.

Sales actuals are calculated using the total of the adjusted invoices with an apply date in the time period being reported.  (For example, all invoices with an apply date in March are used to calculate actual sales for March.) A few things to note:

  • If the month has 30 days and the budget is $30,000, the dashboard will always show the budget as $30,000.  It will not show the budget as $15,000 on the 15th of the month.
  • If today’s date is the 15th of the month, the sales totals will be calculated on any invoice with an apply date in the current month, even if it is after the 15 of the month.
  • The adjusted line item amount is used, therefore invoices that have been written off are not included. If a $500 invoice has been adjusted down by $100 for a discount (for example), $400 will be the amount used in the Sales Actual calculation.
  • You can run the report Revenue by Type (selecting all revenue items) to view the detail behind these totals.
  • Posted and unposted line items are included in all totals.

Cash actuals are calculated using the adjusted total of the payments with an apply date in the time period being reported.  (For example, all payments with an apply date in March are used to calculate actual cash for March.) Keep in mind for Cash actuals:

  • If the month has 30 days and the budget is $30,000, the dashboard will always show the budget as $30,000. It will not show the budget as $15,000 on the 15th of the month.
  • If today’s date is the 15th of the month, the cash totals will be calculated on any payment with an apply date in the current month, even if it is after the 15 of the month.
  • The adjusted payment amount is used, therefore if a payment has been refunded it will not be included.
  • You can run the report Payments and the Revenue Items they were Applied Against to view the detail behind these totals. Keep in mind that many other payment reports in WebLink do not used the adjusted amount, or use a different date filter, therefore other payment reports may not always match the totals you see on the dashboard.
  • Posted and unposted payments are included in all totals.

Also, view a comparison of year over year for both sales and cash. This will compare your sales and cash totals at today’s point in the calendar year vs. today’s point in the previous calendar year. (Through the end of the month.)

You can also view a comparison of your organizations Sales and Cash actuals for the Trailing Twelve Months.

 Note that the Dashboard is only visible to users with access to view Revenue Reports.
