Tracking Task Hours

WebLink's Task Management features allow you to track the time your staff spends completing a task. This can be helpful for documenting the labor involved in a project, or for showing a member how much time you spend working on their behalf.

You track the amount of time spent on any given task using the Task Hours feature.  Task Hours can be added in quarter-hour increments one at a time or in bulk. Follow these steps to track the time you spend working on a task:

To add Task Hours on a single task:

  1. Open the Task you want to add hours to. You can do this either by using the Task Selector, your My Tasks Dashboard, or on the Tasks tab of a Profile Record. The Tasks Main window will open.
  2. Once you have the Task open, click the Task Hours tab.
  3. Right-click in the Data Grid and select Add Task Hours. WebLink will notify you that it saved the Task (in case you had made other changes) and then the Task Hours window will open.
  4. Select the number of hours you want to add in the Hours: drop-down menu.
  5. Select the date you completed the hours from the Date: drop-down menu.
  6. Select the use who completed the hours from the User: drop-down menu.
  7. Add any description of the work to the Description: text box.
  8. If you want the notes from this Task Hours entry to be added to the Notes field for the overall Task, click the Append Description to Task checkbox. Note:
  • Internal Notes will be withheld from any email generated from this Task
  • External Notes will be included in any emails generated from this Task
  • Send Email to Client will generate an email to the Related Profile with the contents of the External Description as the body of the email. You will NOT get a chance to edit this email before it sends.

9. Click Save to save your Task Hours

 

To Add Task Hours to Several Tasks at Once:

You can also add Task Hours to several tasks at once, saving you from having to repeat the same operation for each Task.For however many tasks you select, the Add Task Hours window will automatically open for each Task, allowing you to add the appropriate number of hours to each one.

  1. Find the task you want to add hours to on your My Tasks dashboard, the Task Selector, or the assigned profile's Tasks tab. Highlight the tasks in the Data Grid you choose and select Right-click and choose Add Task Hours to Selected Tasks. The Task Hours window will open.
  2. Select the number of hours you want to add in the Hours: drop-down menu.
  3. Select the date you completed the hours from the Date: drop-down menu.
  4. Select the use who completed the hours from the User: drop-down menu.
  5. Add any description of the work to the Description: text box.
  6. If you want the notes from this Task Hours entry to be added to the Notes field for the overall Task, click the Append Description to Task checkbox.

7. Click Save to save your Task Hours. Repeat this process for each instance of the Task Hours window that opens.
